Short answer
They're almost certainly just not activated yet. Draft is not a duplicate marker. It's a data-capture status that means "this record is still being finished." While an asset is in Draft it has no impact on inspections, jobs or defects, so there's no rush to move it. Leave it in Draft until you're happy with the record, then mark it Active.
Detail
Think of Draft as your own "still to finish" marker. Before you mark an asset Active, check that it has:
- The right name. The name you'd actually use for it, because it flows into task titles later.
- The right location. The pin is on the real asset.
- The financial and date details. Install date and any purchase, current, insurance or replacement values you track.
- The AGAR flag. If the asset belongs on your AGAR, flag it.
At some point it's worth getting your RFO involved. The same record can feed their AGAR asset register, so doing the checks once in Civic.ly saves them keeping a second list.
When the record has all its details, mark it Active.
Watch-outs
- Draft doesn't mean "wrong" or "duplicate". Nothing has gone astray. It only tells you the record hasn't been signed off yet.
- Draft assets still work. You can inspect them and raise jobs and defects against them.
- No deadline. Many councils leave assets in Draft for months while they work through the whole register.
- Worried about a genuine duplicate? Look for two records with the same name in the same place. If you find one, keep the better record and delete the other.
