Short answer

You're not doing anything wrong — that's by design. An asset you capture on your phone lands in Draft on purpose. Draft is a holding state that means "captured, but I may still want to tidy this record up." You finish the record off in the web app and then move it to Active when you're happy. It can sit in Draft for as long as you like — days, months, indefinitely — and that doesn't stop you inspecting it or raising jobs against it.

Capturing on the phone is deliberately quick: snap a photo, upload, and the AI maps it and guesses the type. But a photo can't give you everything a good record needs, so the new asset waits in Draft while you finish it. The usual tidy-up (easiest on the web app) is:

  1. Nudge the location. GPS from a photo is rarely exact — you're seldom standing on top of the thing when you snap it — so drag the pin onto the real asset. Turning the Areas layer off and satellite on makes this easier.
  2. Check the AI got it right. Confirm the asset type and description; correct them if not.
  3. Give it a sensible name — the name you'd actually use for it ("Porth Tower outbound bus shelter"), because that name flows through into task titles later.
  4. Add any register details your finance officer / RFO holds — install date, and purchase / current / insurance / replacement values — if you track them.
  5. Move it to Active when you're happy the record's complete.

That's the full journey, but only step 5 is about Draft vs Active — the rest is just finishing the record.

Watch-outs

  • Draft is not an error and not "unpublished". It doesn't hide the asset or block work — you can inspect a Draft asset and raise jobs/defects against it straight away.
  • Moving to Active is optional and can wait. Many councils leave assets in Draft while they work through their whole register; there's no deadline and no penalty. Use it as your own "still to finish" marker.
  • Location tweaking is web-app for now. Adjusting the pin is done in the web app today (mobile support is planned), which is the main reason to open each freshly-captured asset on a laptop before going Active.
