Short answer
Change that one occurrence, not the whole routine. If a round is moving to a different day, open that week's occurrence in Routines, change its Due Date, click Update Routine and choose Update this routine ONLY. The rest of the series stays exactly where it is. If you need an extra run on top of the normal schedule, create a separate one-off routine for that day. Occurrences are only created a few weeks or months ahead, so a Christmas occurrence may not exist yet when you first go looking.
Detail
First, decide whether you are moving a round or adding one. It is easy to mix the two up, and they are done differently.
- Moving: the round normally runs on the bank holiday (or the day before or after) and will run on a different day that week instead. For example, a Monday round moves to Tuesday because Monday is a bank holiday.
- Adding: the round still runs on its normal days, and you also want it on the bank holiday. For example, the weekend crew covers the bank holiday Monday as well as their usual Saturday and Sunday.
Moving a round for one week:
- Go to Routines and find the occurrence for that week. Each occurrence is its own row, so check the Due Date to make sure you have the right one.
- Open it, either with the pencil icon or by double-clicking the row.
- Change the Due Date to the new day.
- Click Update Routine and choose Update this routine ONLY.
The occurrence moves on its own, and every other week stays on its normal day. See How to Edit a Routine.
Adding an extra run: a routine cannot hold an extra off-pattern day, so create a new routine for it. Select the same assets in the Asset Register, click Create Routine, set the Due Date to the bank holiday and leave Recurrence at None, so it happens once and stops. Set the task type and assignees as on the normal round. See How to Create a Routine.
When will the occurrence be there to change? Civic.ly does not create every future occurrence at once. It keeps a rolling window, roughly the next 12 occurrences for a weekly routine and the next 20 for a daily one, and tops it up each week. So a weekly round is visible about three months ahead, a weekend-only round about ten weeks ahead, but a Monday-to-Friday round only about four weeks ahead. If the Christmas occurrence is not in the list yet, it simply has not been created. Come back nearer the time. See How far ahead are recurring tasks created?
Watch-outs
- Choose "Update this routine ONLY". The other option, Apply to the … series from [date], moves every occurrence from that date onwards, which would shift your round permanently.
- Think about the rounds that are not running. If your normal weekday rounds stand down on a bank holiday, their occurrences will still be created and will show as overdue. Move them to the next working day, or if the work is genuinely not happening, close them off rather than leaving them to age.
- Check the dates in the year you are planning for. When a bank holiday falls at a weekend, the day off moves to the following Monday (Boxing Day on a Saturday makes Monday 28 December the holiday, for example), so the day your rounds change may not be the date on the calendar.
- Plan it in one sitting. A single list of each affected round, the date it normally runs and what happens to it over the holiday makes it much easier to do the edits once the occurrences appear.
