An empty task list almost always means the filters are hiding your work, not that the work is missing. The app deliberately shows you a narrow slice — your tasks, due soon — so a filter set slightly wrong can empty the screen completely.

Work through the causes below in order. The first one is the least obvious and the most common, because the message on screen points you in the wrong direction.

The reassuring bit: nothing you have recorded in the field is lost. Every cause on this page is a display setting. Your defects, inspections and jobs are safe on the web app, whatever your phone is showing.

Start here: open the filter panel

Tap the sliders icon at the top right of the task list. Everything below is set in that one panel.

1. "Assigned to" is set to Unassigned

The symptom that misleads everyone: a blank screen reading "You currently do not have any tasks assigned to you."

That message sounds like a statement about your account, so it is natural to conclude somebody forgot to assign you the work, or that your permissions are wrong. Usually it is neither. The Assigned to control has three settings — Me, Unassigned and Other — and if it is on Unassigned, the app is faithfully showing you every task that has nobody assigned to it. On a well-run account that list is often empty, so you get a blank screen and a message about your own tasks.

Fix: set Assigned to → Me and tap Apply.

This is worth checking first even if you are certain the filters are fine. One council went several weeks like this, with the Town Sergeant raising defects out on the parks every week and none of them appearing on his phone afterwards. He had gone through the filter panel himself the day before and not spotted it, because nothing on the screen suggests the setting is the problem.

Managers: Other lets you pick a team member and review their day. If you left it there after checking someone else's list, your own tasks will be missing until you set it back to Me.

2. The due window is too narrow

The Show tasks due control has four settings, and they do exactly what they say:

  • Today — due today only
  • Week — the current week, Monday to Sunday
  • 30 days — today through the next 30 days
  • Overdue — past their due date and still not done

The trap is that Overdue work does not appear in the other three windows. So if your work has slipped, 30 days will show you nothing while Overdue shows a full list. This frequently happens alongside cause 1, which is what makes an empty list so confusing: two settings are wrong, fixing one changes nothing, and the natural conclusion is that the app is broken.

Fix: switch to Overdue and look again before assuming the tasks do not exist.

3. A task type is switched off

The Show task type toggles are INS (inspections), JOB and DEF (defects). Turn one off and that whole type vanishes from your list. If your inspections are showing but your defects are not, this is the first thing to check.

4. "Hide completed tasks" is on

A useful setting for daily work — the list shrinks as you tick things off — but it means finished work disappears. If you are looking for something you have already done, turn Hide completed tasks off to bring it back.

5. The task genuinely has no assignee

If the filters are right and the task is still missing, it may have no assignee at all, in which case it is on nobody's list. This is most common with routine sub-tasks: assigning the routine to a supervisor does not put its tasks on anyone's phone. Each individual task needs its own assignee.

6. It is outside the sync window

To keep the app fast, it downloads only what the filters can ask for: everything due from today to 30 days ahead, whatever its status, plus any unresolved overdue work. Older completed tasks, and anything due more than 30 days out, stay on the server.

So a task you completed months ago, or one scheduled for next spring, will not be on your phone at all. That is expected. Look it up on the web app instead.

If you have worked through all six and the task is still missing, check on the web app whether it exists at all. If it is there and correctly assigned to you but will not appear on the phone, that is worth reporting to us rather than fiddling further — send us the task name and the account it is on.

Common Questions

Almost certainly not. The web app shows everything; the mobile app deliberately shows a filtered slice. Nine times out of ten the difference is the Assigned to or Show tasks due setting, not the device.

Not necessarily, and this is the single most misleading message in the app. Check that Assigned to is set to Me and not Unassigned first. Only once that is right is the message telling you something true.

It is safe. Set Assigned to → Me, switch the due window to Overdue, and make sure the DEF toggle is on. Defects you raised will normally be sitting in the overdue list, because they are created with a due date that has since passed.

The filter settings stick on the device, so once they are right they stay right. It is worth setting them together the first time someone picks up a phone, and showing them where the panel is.
