You may have noticed that Routines no longer appear as their own section in the mobile app, and your routine tasks aren't showing up in the app's task filters the way they used to. This is a deliberate change in our latest release, not a fault. This article explains what changed, why, and how to get your team's routine work showing again.
What changed
In the recent mobile app update, we removed the separate Routines view from the phone. Routine tasks are no longer served up as their own list on mobile. Instead, the individual tasks a routine generates now flow straight into your team's normal task list, alongside their other inspections and jobs.
Why we made the change
The old way was slow out in the field. To work through a routine, someone had to open the routine, scroll down, and tap into each related task one at a time. On a big round — say a weekly park check covering 55 items — that was a lot of tapping just to reach the work.
Now those tasks appear directly in each person's task list. Your team can:
- work straight down a single list instead of digging into a routine and out again;
- complete each item as they go (swipe right to pass it, or open it to fill in a checklist);
- see everything that's due in one place using the app's Today / This week / Overdue filters.
Same coverage, far fewer taps — and it's much quicker day to day.
Why your routine tasks might seem to have disappeared
There's one catch, and it's the reason some teams can't see their routine work at all right now. Tasks only appear in a person's list if that person is assigned to them.
A routine has two different assignee settings:
- The routine's own Assignee is usually a supervisor or manager who oversees the round. It does not put the work on anyone's task list.
- Each related task's Assignee (one per asset, in the Related Tasks list) is the person who actually does that task. This is the one that makes the task show up in someone's list and on their phone.
Previously, many councils assigned the routine itself to a supervisor but left the related tasks unassigned, then relied on opening the routine on the phone to get to the work. Now that the routine view has gone, unassigned related tasks have nowhere to appear. The fix is to assign those related tasks to the people who do them — you only need to do it once per routine.
How to get your team's routine tasks showing again
- Open Routines from the left-hand menu in the web app.
- Open the routine you want to fix.
- Make sure you're on the next upcoming occurrence (the earliest one still to come). This matters — see the note below.
- Scroll to the Related Tasks list. You'll see one row per asset, each with an Assignees column.
- Go down the rows and set the Assignee on each related task to the person who should do it. You can add more than one person if a small crew shares the work — any of them can then complete it.
- Click Update to save the routine.
- A pop-up will ask whether to apply the change to this occurrence only or to all future occurrences. Choose all future occurrences.
Every future occurrence will now generate its tasks already assigned to the right people, so they show up in each person's task list and on their mobile app.
Important: edit the next occurrence, not a later one
"Apply to all future occurrences" takes effect from the due date of the occurrence you're editing — not from today. So always make the change on the next upcoming occurrence. If you edit one due weeks or months ahead, only the occurrences from that date onward pick up the assignees, and the ones in between stay unassigned.
Checking it worked
- The related tasks now show your team members' names in the Assignees column.
- Each assigned person can see their tasks in their task list, and on the mobile app once logged in. If something looks missing, check the app's filters — the Today / This week / Overdue view may simply be hiding tasks due later.
- As people work, they swipe right to pass a task or open it to complete a checklist.
Common Questions
Because the routine-level assignee only oversees the round; it doesn't assign the actual work. Open the routine, set the Assignee on each related task to the person doing it, then update and apply to all future occurrences.

Yes. Add everyone who might do it — any of them can complete it, and it drops off everyone's list once it's marked done. This suits shared rounds and rotating shifts.
