Short answer
The simple fire safety checks don't attach to the building. They attach to the individual things you are testing. Pick the building and you get the Building Sweep, the full walk-round of the roof, walls, doors, windows, heating and more. To get the short Fire Alarm Check, Emergency Light Check or CO Alarm Check, add the fire alarm, the emergency lights and the CO alarm as their own assets, then run the check against each one.
The benefit is that everything is recorded against that specific asset, so each fire alarm, light or alarm has its own dated history.
Detail
Add the assets. Add each thing you test as a new asset, choosing the matching asset type:
| Check you want | Asset type to add |
|---|---|
| Fire Alarm Check (call point test, panel status, overall condition) | Fire Alarm |
| Emergency Light Check | Emergency Light |
| CO Alarm Check | CO Alarm |
| Fire Door Check (door closures) | Fire Door |
You can add one Fire Alarm asset for the panel and system, and one Emergency Light asset per light, or one for the group if you test them together.
Run the check. When you add the inspection, choose the individual asset (the Fire Alarm, say) instead of the building. The matching short check is offered straight away. Set it up as a routine so it comes round on its own, for example one weekly routine for the fire alarm test and one monthly routine for the emergency lights and CO alarm. You choose how often each one runs.
Link the assets to the building. Open the building, go to its Assets tab, and use the plus button to search for and link each of the individual assets. The building then gives you an overview, because its Tasks tab shows every inspection, job and defect for everything linked inside it, in one place. See link assets to the thing they belong to.
Watch-outs
- The Building Sweep is still useful. It is the right check for the condition of the building itself. The short checks cover the fire equipment inside it, so most buildings use both.
- No Fire Alarm asset means no Fire Alarm Check. If a check you expect is missing, the first thing to look at is whether the asset type it belongs to exists on your register.
- Names matter. The asset's name becomes the task title the person in the field sees, so name each one the way your paper log does.
